How do I report a fault?
You can log a fault via the Facilities Directorate Helpdesk.
If your problem is with departmental or School equipment, you should contact your Facilities or Building Manager in the first instance.
How do I follow up on a previously reported fault?
Once full details of your request/job are entered onto our Plant Maintenance System, via the portal or via our Helpdesk Operator, you will receive a unique enquiry number by e-mail confirming your request.
If you have any enquiries concerning the progress of your job, please log on to the Estates portal or please quote your reference number to the helpdesk on x53333.
How do I arrange to get furniture/equipment moved?
You can log a job via the Facilities Directorate helpdesk. Estates will make a small charge against your budget to cover our costs for this activity.
How do I dispose of unwanted furniture?
If the furniture is still in good condition then it could be used elsewhere. Reuse@Leeds is an initiative set up to get the best value out of surplus resources at the University of Leeds by finding owners for items that are no longer required in their area. Visit the Reuse@Leeds website.
If the furniture is at the end of its life we can arrange disposal – we will make a small charge against your budget to cover our costs for this activity. You can log a job via the Facilities Directorate helpdesk.
My workspace needs refurbishment or looks tired – how do I get it improved?
Estate Services plan cyclical decoration and replacement of assets such as carpets, ceiling tiles and lighting. We will contact you to arrange access and to discuss our plans when these works are scheduled.
If you want to change the colour of the paintwork, rearrange the workspace or change the use then it is unlikely that Estate Services will fund this. You can request a quotation for these works by following the PIF (Project Initiation Form) process.

I need to obtain records of planned maintenance for an audit/stakeholder/query
The Asset team are responsible for all record keeping in conjunction with the Maintenance team. Please contact the Compliance Officer for all statutory maintenance records and the Systems & MI Officer for all other maintenance records/reports. Find out more about the Maintenance team.
If the equipment is dedicated to your School/department then records may be held locally – you should contact your Facilities or Building Manager in the first instance.
When will my grass get cut / hedges get trimmed?
All grounds and gardens are carefully managed to balance the benefits of biodiversity on campus and good standards of horticultural management. We plan schedules to suit the seasons and may carry out additional visits for high profile events such as Open Days.
If you feel an area needs attention, please contact the Grounds & Gardens Team Leader in the first instance.
I’d like to order in a floral display, arrange a memorial or plant a new area
Please contact the Grounds & Gardens Team Leader in the first instance. These will be chargeable activities and you will be required to provide departmental/School funding.
I’d like to install a new test rig/desk/workbench/coffee machine etc
In the first instance, please contact the Facilities Directorate helpdesk.
You should not carry out work that disturbs the building fabric (for example; drilling a wall) without obtaining permission from Estate Services first. If a contractor is required to carry out the work we can help assess the risks and likely cost before any work is instructed.
For larger or more complex changes, you should request a quotation for these works by following the PIF (Project Initiation Form) process.
